Sanctioning Policy

The Football West Sanctioning Policy is designed to provide clarity, guidance and support to clubs, associations and non affiliated organisations seeking approval to conduct football events or activities that sit outside Football West run competitions.

Sanctioning is the process of applying to Football West for approval to host, conduct or participate in a tournament, event or football activity. This may include activities held during the football season that are not structured, organised or delivered by Football West. Once approved, the activity is covered under the Football West Insurance Program and assessed from a risk management and football operations perspective.

The policy helps ensure football activities are delivered safely, consistently and in line with Football West and Football Australia standards. Activities that are not sanctioned are not covered by Football West insurance, which may also affect an organiser’s ability to access Local Government owned facilities.

Sanctioning ensures football events and activities are approved by Football West and covered under the Football West Insurance Program. It also provides access to support across areas such as dispute and grievance processes, safeguarding, risk management guidance and competition or event rules where required.

Complete the online Sanctioning Application Form on the Football West website. Once submitted, Football West will review the application and contact you regarding next steps or any additional information required.

Fees are set to cover national insurance costs and the additional administrative and risk management requirements associated with events and activities outside Football West run competitions.

Events or activities that are not sanctioned are not covered by the Football West Insurance Program and will not have access to the support services outlined in the Sanctioning Policy. This may also impact an organiser’s ability to secure a venue, particularly where facilities are owned or managed by Local Government.

 Football West requires a minimum of four weeks’ notice for events and programs. Friendly or one off matches require at least five business days’ notice.
 For example, if a match is scheduled for Saturday 15 March, the sanctioning request must be received by Football West by 5pm on Friday 7 March.

There are no late fees. Applications received after the required notice period cannot be accommodated.

Yes. Sanctioning processes are in place across Football Australia Member Federations and many other sporting organisations to ensure events are delivered safely, consistently and with appropriate insurance and governance in place.
